Building Invoices
Once payroll is complete for a company, an invoice can be raised. For Payroll Specialist customers, invoices can be raised globally for multiple companies, see building globally.
- Navigate to Invoicing > Build Invoice
- Select the company to invoice and chose Create Invoice
- The software will automatically populate a payroll processing service line item, with the quantity of employees processed for the period. The rate will be defined by the price list assigned.
- Items can be added or removed, ad-hoc for this invoice
- Select 'Save Invoice' once happy with the billable items
- Built invoices will be saved as a 'building' state, allowing the invoice to be edited and adjusted. Once all invoices have been confirmed as accurate, select 'Finalise Invoices', preparing them to be distributed to the customer
Approving and sending invoices
Once an invoice has been built and finalised, it will appear in the Invoice Dashboard (Invoicing > Invoicing Dashboard).
Where an invoice approval process is in place, the invoice will remain in a generated state until the invoice is approved. The individual approving can view the invoice and then choose whether to approve. If the invoice is deemed incorrect, it can be cancelled and re-generated using the build invoice process.
Once approved, the invoice can be sent using the 'Send' button and choosing to print, export or email the invoice.
Managing invoices
Qtac's invoice dashboard (Invoicing > Invoice Dashboard), provides a management overview of invoicing. Invoices can be filtered by their current status, or searched using the search function.
Invoices that have been sent can be marked as paid, re-sent or credited as required and historical invoices can be viewed and exported.
